Privacy Policy

Effective date: October 2, 2026

FlexBEN respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains the types of personal information we may collect through this website, how we may use and disclose it, and the choices available to you.

1. Information We Collect

We may collect information that you choose to provide, including your name, business name, email address, phone number, information about your benefits needs or interests, responses submitted through the Benefits Check-Up, resource requests, inquiry details, and communication preferences.

We may also collect limited technical information associated with use of the website, such as browser or device information, pages visited, referral information, and similar website usage information where analytics or related technologies are enabled.

Please do not submit confidential medical information, detailed claims information, banking information, passwords, or other highly sensitive information through general website forms unless FlexBEN specifically requests it through an appropriate process.

2. How We Use Information

We may use personal information to:

  • respond to inquiries and resource requests;
  • provide requested information and services;
  • understand a business's benefits interests and needs;
  • administer the Benefits Check-Up and related website tools;
  • schedule and manage conversations or appointments;
  • maintain business records and manage prospective and existing client relationships;
  • improve the website, resources, services, and user experience;
  • send benefits insights or marketing communications where you have provided the appropriate consent; and
  • meet applicable legal, regulatory, security, and business requirements.

Submitting an inquiry does not automatically subscribe you to marketing communications.

3. Benefits Check-Up

Information provided through the Benefits Check-Up is used to generate educational results and may be used to support a subsequent conversation with FlexBEN where you choose to provide contact information or request follow-up. The Benefits Check-Up is an educational tool and does not replace an appropriate discovery, review, or advisory process.

4. Service Providers and Third Parties

FlexBEN may use third-party service providers to operate the website and support business activities, including website hosting and development, customer relationship management, forms and communications, appointment scheduling, analytics, and other technology services.

These providers may process information on FlexBEN's behalf and may operate or store information outside your province or outside Canada. When information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction.

5. Zoho and Appointment Scheduling

FlexBEN uses Zoho services for aspects of customer relationship management and appointment scheduling. Information submitted through website inquiry forms may be transferred to FlexBEN's Zoho environment for follow-up and relationship management. If you choose to schedule a meeting through the embedded booking calendar, information you provide through that booking experience is also handled through the applicable Zoho service.

6. Consent and Marketing Communications

Where consent is required, FlexBEN will seek consent appropriate to the circumstances. Optional marketing consent is separate from submitting a general inquiry. If you subscribe to marketing communications, you may withdraw that consent or unsubscribe using the method provided in the communication or by contacting FlexBEN.

7. Cookies and Analytics

The website may use cookies, analytics, or similar technologies to support website functionality and understand how the site is used. The technologies in use may change as the website evolves. Browser settings may allow you to limit certain cookies, although doing so may affect website functionality.

8. Google and Meta Measurement and Advertising Technologies

The website uses Google and Meta technologies to measure how the site is used and to support FlexBEN's marketing. These providers act as recipients of the limited technical information described below.

Google. The website uses Google Tag Manager to manage measurement tools, which may include Google Analytics and Google Tags used for Google Ads. These technologies collect technical and usage information such as pages visited, how long pages are viewed, approximate region, and browser or device information. They are used to understand website usage and to measure whether FlexBEN's advertising is effective.

Meta. The website may use the Meta Pixel, a measurement tool operated by Meta, to understand how visitors arrive at the website and to measure the effectiveness of FlexBEN's advertising on Meta platforms.

Depending on your consent choice, these technologies may set measurement cookies, which help count visits and understand website usage, and advertising cookies, which help measure and support advertising. Personal details such as your name, email address, telephone number, or your individual answers in the Benefits Check-Up are not transmitted through these measurement tools. Campaign-related information that may be visible in the address of the website when you arrive, such as advertising identifiers, may be stored locally in your browser so that FlexBEN can understand which campaign or source led to an inquiry.

Your consent choices. When you first visit the website, you may be asked whether you accept or decline optional measurement and advertising technologies. Only essential website functionality relies on information necessary to operate the site; measurement and advertising technologies remain inactive until you accept. If you accept and later change your mind, or decline and later change your mind, you can update your choice at any time using the "Cookie settings" link in the website footer. Your choice is stored in your browser, and clearing your browser storage may remove it, in which case you will be asked again. You may also limit cookies through your browser settings, although doing so may affect website functionality.

9. How We Protect Information

FlexBEN uses reasonable administrative, technical, and organizational measures appropriate to the nature of the information to help protect personal information. No method of electronic transmission or storage can be guaranteed to be completely secure.

10. Retention

Personal information is retained only as long as reasonably necessary for the purposes for which it was collected, for legitimate business purposes, and to satisfy applicable legal or regulatory requirements. Retention may vary depending on the nature of the information and the relationship with FlexBEN. We retain your information and will remove it upon request unless we are required or legally obligated to keep it.

11. Access, Correction and Privacy Questions

You may contact FlexBEN to ask about personal information held about you, request a correction, withdraw consent where applicable, or raise a privacy question or concern, subject to applicable legal limitations.
